Password protection for PDFs

Put a lock
on the document.

Protect a PDF with a password before you share it. Rockspace encrypts the document and creates a separate protected copy, leaving your original file untouched.

What protection changes

The PDF becomes an encrypted document.

Instead of simply hiding the file behind a renamed extension or adding a visual warning, PDF encryption changes how the document can be opened. A compatible PDF reader needs the password before the protected document can be accessed.

01

Choose a PDF

Upload the document you want to protect. The workspace renders a preview so you can confirm the correct file.

02

Set a password

Enter the password and confirm it before the encryption process begins.

03

Create the protected copy

The protected PDF is generated as a new file with -protected.pdf added to its original name.

04

Share the protected file

Send the encrypted PDF separately from its password. The recipient will need the password to open it.

The password matters

Encryption is only as strong as the password you keep.

A protected PDF still needs a password that is difficult for other people to guess. Avoid obvious choices such as names, birthdays, phone numbers, or simple sequences.

For documents containing sensitive information, use a longer password or passphrase that is unique to the document.

A useful rule

Don't send the PDF and its password through the same message when you can avoid it. Sharing them through separate channels gives the password a different path from the encrypted file.

When to use it

Add a barrier before the file leaves your hands.

Contracts & agreements

Add password protection when sharing contracts, agreements, proposals, or other documents that should not be openly accessible.

Financial documents

Protect statements, invoices, reports, and other files that contain financial information before sending them to someone else.

Personal records

Password protection can add an extra layer when storing or sharing personal documents and records.

Internal documents

Useful for documents shared between teams when the file should not be immediately readable by anyone who obtains it.

Under the hood

Real PDF encryption, not a visual overlay.

The workspace uses PDF.js to render the document preview and QPDF to perform the actual encryption step.

The protection workflow runs QPDF's encryption command with 256-bit encryption and uses the supplied password for the protected document.

Once processing finishes, Rockspace creates a new PDF and downloads it separately from your original file.

Important distinction

Password protection is not the same thing as secure redaction. If sensitive information must be permanently removed from a PDF, use a proper redaction workflow rather than simply covering or password-protecting the page.

Questions

Protecting a PDF,
explained.

What does Protect PDF actually do?+

It creates an encrypted copy of your PDF that requires the password you supplied when opening the protected document.

Does it change my original PDF?+

No. The tool generates a separate protected PDF. Your original file remains separate from the generated download.

What encryption does it use?+

The current implementation invokes QPDF with 256-bit encryption for the protected PDF.

What happens if I forget the password?+

The password is required to open the encrypted document. Keep a secure record of passwords for important files before distributing the protected PDF.

Is password protection the same as redaction?+

No. Password protection controls access to the document. Redaction is used to permanently remove sensitive information from a document.
